Sharewear

Privacy policy

Last updated 18 October 2026

This policy explains what personal information Sharewear collects, why, who we share it with, and your rights.

Who we are

Sharewear is run by a sole trader based in England. We're the "controller" of your personal information, which means we're responsible for it under UK data protection law.

For anything about your personal information, contact us at hello@sharewear.co.uk.

What we collect

When you sign up and use your account

  • your name, email address and password, which is stored encrypted and never seen by us
  • if you sell, the postcode you give when you first list an item. We use it to work out your town and approximate location, so buyers can search nearby. Only your town is shown, never your postcode.

When you list, buy and sell

  • your listings: photos, descriptions, prices and the school or club they're for
  • offers, orders, and what you've bought and sold
  • for postage orders, the buyer's name and delivery address, which only the seller of that order can see
  • messages you send through Sharewear, reviews, and reports you make

Payments

Payments are handled by Stripe. Your card details go straight to Stripe, and we never see or store them. We keep a record of each payment, such as the amount and Stripe's reference. Sellers give Stripe identity details, such as date of birth and address, and their bank details to receive payouts. Stripe holds those and tells us whether payouts are set up.

Technical information

When you visit, our servers record things like your IP address, browser type and the pages you request, to keep the site working and secure. We also note when you were last active.

Why we use it, and our legal reasons

What we do Legal reason
Running your account, showing your listings, processing orders, payments, refunds and payouts To provide the service you've signed up for (contract)
Sending emails about your account, offers, orders and messages Contract
Keeping Sharewear safe: checking reports, preventing fraud and scams, enforcing our terms Our legitimate interest in running a safe marketplace
Improving Sharewear and fixing problems Our legitimate interests
Keeping financial records, and reporting sellers' income to HMRC where the law requires it Legal obligation
Dealing with legal claims, or requests from the police or other authorities Legal obligation or legitimate interests

We don't sell your personal information, and we don't use it for advertising.

What other members see

  • Everyone can see your public name (first name and surname initial), your town, when you joined, your listings, your rating and reviews.
  • The other person in an order sees what's needed to complete it: messages, and for postage, the buyer's delivery address.
  • Your email address, postcode and payment details are never shown to other members.

Who we share it with

We only share what's needed, with:

  • Stripe, to take payments, make payouts, carry out identity checks and prevent fraud. Stripe is also responsible for the information it collects to meet its own legal duties. See Stripe's privacy policy.
  • Our hosting and email providers, who store our data and send our emails on our behalf, under contracts that protect your information.
  • postcodes.io, a free postcode lookup service. We send it postcodes, never names, to find the town and location.
  • HMRC, where the law requires us to report information about sellers.
  • The police, courts or other authorities, if we're legally required to, or need to protect someone's safety.

Some of these providers, such as Stripe, may process information outside the UK. When that happens, it's protected by approved safeguards, such as the UK's International Data Transfer Agreement.

How long we keep it

  • Your account, while it's open.
  • Order and payment records, for 6 years after the order, because tax law requires it. This applies even if you delete your account.
  • Messages, while either member in the conversation still has an account, so we can help with any problems.
  • Technical logs, for a short time, usually no more than 90 days.

When you delete your account, we delete your profile, unsold listings, photos and login details. If you've bought or sold anything, we keep the order records, with your name replaced by "Deleted member".

Your rights

You have the right to:

  • see the personal information we hold about you, and get a copy
  • correct anything that's wrong. You can change most details yourself in Settings.
  • have it deleted, where we don't need to keep it
  • object to or restrict how we use it, in some situations
  • take it with you in a common format (portability)

To use any of these rights, email hello@sharewear.co.uk. We'll reply within one month. It's free in most cases.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Children

Sharewear accounts are for adults (18 and over). We don't knowingly collect information about children, and listing photos must not show children.

Cookies

We only use the cookies needed to run the site. See our cookie policy.

Changes

We'll update this policy if what we do changes. The date at the top shows when it was last updated, and we'll tell you about important changes.
